Privacy Policy

Roomwise IQ is a networking tool operated by Corsac Vantage LLC. This policy explains what the service stores, who can see it, and what happens to recordings. Last updated: draft.

The short version

  • Your notes, contacts, recordings, and transcripts belong to you, not to any organization that pays for your seat.
  • Organization administrators cannot read your notes, contacts, follow-ups, or recordings. They see counts and only what you explicitly choose to share.
  • Audio is deleted after it is transcribed unless you ask us to keep it.
  • You can export or delete your data at any time.

What we collect

Account information. Your name, email, company, title, and the contact details you choose to include in your outgoing messages.

Content you create. Contacts you add, notes and details about them, voice captures and their transcripts, reflections, elevator pitches, event participation, and posts you make to an organization board.

Recordings. Audio you record or upload, the transcript produced from it, and any summary generated from that transcript.

Usage information. Basic technical logs needed to operate and secure the service.

Recordings, and the people in them

Recording features raise obligations that ordinary note-taking does not, and we want to be direct about them.

  • You are responsible for obtaining consent. Laws on recording conversations vary. Federal law and most states permit recording when one party consents, but approximately a dozen states require the consent of everyone in the conversation. Roomwise IQ shows a warning and asks you to confirm you have obtained consent, and records your confirmation. That confirmation is a record of what you told us; it is not legal advice and does not transfer your responsibility to us.
  • Recorded sessions may belong to someone else. A speaker generally owns their presentation, and many events prohibit recording. Roomwise IQ is intended for your personal notes. Do not use it to redistribute someone else's work.
  • People in a recording are usually not our users. If someone asks us to remove information about them from a recording or a contact record, we will route that request to the member who created it, since that member controls the record. Where law requires us to act directly, we will.

Audio retention. By default, audio is deleted once a transcript exists. If you opt to keep audio, it stays until you delete the recording. Deleting a recording deletes its audio, transcript, and summary.

Who can see your content

Roomwise IQ is sold to organizations, but the privacy boundary runs in your favour. Your contacts, notes, voice captures, follow-ups, reflections, and recordings are visible only to you. Organization administrators see aggregate counts and activity, plus the specific items you choose to share: a reflection you mark as shared, a post you make to the board, a survey response (which is reported anonymously and only when at least three members have responded), or a recording summary you deliberately share.

If your membership in an organization ends, your account and your content remain yours. Only the organization's own material, such as its events and directory, becomes unavailable.

Service providers

We use a small number of processors to run the service:

  • Supabase for the database, authentication, and file storage.
  • Vercel for hosting.
  • Anthropic to generate summaries, drafts, and structured notes from your text.
  • Deepgram to convert audio to text.
  • ElevenLabs to read text aloud when you use that feature.

Content sent to these providers is processed to deliver the feature you requested. We do not sell your data, and we do not use your content to train models.

Your choices

  • Visibility. Your profile is private by default. Being findable by other members or across the platform is a setting you control.
  • Export. You can request a copy of your data.
  • Deletion. You can delete individual contacts and recordings at any time, or ask us to delete your account, which removes your content and your presence in any directory.
  • Audio. You choose at record time whether audio is kept.

Security

Access is enforced at the database level rather than only in the application, so a bug in a screen cannot expose another member's notes. Audio files are stored privately and are readable only by the member who created them.

Children

Roomwise IQ is a business tool and is not intended for anyone under 18.
